No part of its contents may be used for commercial solicitations by any other company, organisation or individual.

1.6     This site is a service of a subscription based, private membership organisation, and all information contained herein is unconditionally private and not in the public domain. This information is not sold or distributed publicly. No part of this online database may be reproduced, stored in a retrieval system, transmitted in any form or in any language, by any means, electronic, mechanical, photocopied, recorded or otherwise. Unauthorised use of this site will be fully exposed and will be confronted to the fullest degree of all applicable laws, both national and international. Further, all monies will be forfeited if unauthorised use is established.

1.7     Home Base Holidays is based in England and is registered with The Data Protection Registrar (registration no: PZ6863280). Home Base Holidays fulfils all obligations as a registered data user under the Data Protection Act 1998.

1.8     We do not store credit card details.

2.1    All information included in listings published on this website is provided by our members. Home Base Holidays publishes extensive guidelines to aid members in arranging exchanges, but we make no warranty, either expressed or implied, about the information provided. Home Base Holidays is not party to, and bear no responsibility for any agreement or contract entered into by members, subscribers or other users of information provided on this website.

2.2    Home Base Holidays relies entirely upon the integrity of members and does not guarantee the accuracy of the information provided herein, condition of the homes before or after an exchange, nor conduct of the members or users of the information in this website at any time, nor that an exchange will be available. The only responsibility of Home Base Holidays is to make available listings to its members.

2.3    Should any information provided by members be found to be grossly misrepresented, Home Base Holidays reserves the right to remove, at our discretion, any listing at any time, without refund.

2.4    Members agree that Home Base Holidays shall not be liable in any way what so ever for any direct, indirect, consequential or other damages whatsoever, regardless of the form of the claim, including but not limited to liability for cancellations, injuries to persons or damages to property, including cars or vehicles. This does not affect your statutory rights as a consumer.

3. How we use your personal data

3.1    Information you provide to us:

When signing up to a Home Base Holidays membership, you will be asked to fill in forms on the Home Base Holidays website. The information entered when signing up to a membership includes:

  • Contact information: when signing up to the Home Base Holidays website we may collect information that could reasonably be used to contact you or to identify you personally, such as your name, email address, telephone number, mobile phone number, or mailing address. This information, unless shared voluntarily by you, will always remain confidential.
  • Home swap listing information: by adding your home swap listing to the Home Base Holidays website, you will add information about the property and its location. Information you add in your home swap listing will be visible to all visitors of the Home Base Holidays website. 
  • Profile Information (Profile data): when signing up to the Home Base Holidays website you will have the option to add additional information about yourself in your Profile section. This information includes interests, number of people travelling in your exchange group, a profile photo and languages spoken.
  • Communications: when you use the Home Base Holidays website’s messaging tools to contact other members, use swap tools such as the trip reports and swap agreement, enter a competition, promotion or complete a survey, we may collect information provided by you in these communications. If you contact us for any reason, we may keep a record of that correspondence.

 

3.2 Updating your profile and personal information

By signing up to use our home swap service, you will have control of your user profile. Therefore, you will be able to access your details by logging in to your profile page on the Home Base Holidays website where you will be able to review, correct and/or update the most of your information at any time.

3.3 Passwords

We advise you to never disclose your password to any third party. Your password is encrypted for your security. You are responsible for all actions taken with your login information and password. If you choose to share this information with any third party, you are responsible for all actions taken with your login details. If your password has been compromised in any way, you should immediately change your password.

3.4 Your use of other members' personal information

We do not typically share the identity, address, email address, phone number or any other contact details of members with other members. Members communicate with each other via the Home Base Holidays website’s messaging system or via any contact details they have chosen to share with another member. In rare instances where a member urgently needs to contact another member, we may, at our discretion, provide a member's contact information to another member. By using our service, you agree that under no circumstances will you disclose another member's personal information to any third party without the express consent of that member.

4. Information we collect about you

Each time you visit the Home Base Holidays website, even if you are not a member, we may automatically collect and process certain information, “usage data” (about how you access or use the Home Base Holidays website (this is technical or statistical data and does not identify any individual). Usage data may include your IP address, geographical location, browser type and version, operating system, referral source, length of visit, page views and website navigation paths, as well as information about the timing, frequency and pattern of your service use. The source of the usage data is our analytics tracking system. This usage data may be processed for the purposes of analysing the use of the website and services. The transaction data may include your contact details, your card details and the transaction details.  The transaction data may be processed for the purpose of supplying the purchased goods and services and keeping proper records of those transactions. The legal basis for this processing is providing the service. We do not store any credit or debit card details.

Please do not supply any other person's personal data to us, unless we prompt you to do so.

5.1 Where we store your data

The Home Base Holidays website and members’ details are stored within a SSAE-16 Certified Data Centre based in Oklahoma, USA. Our web hosts are signed up to the EU-U.S. Privacy Shield.

By submitting your personal data on the Home Base Holidays website, you agree to this transfer, storing or processing. We will take all steps reasonably necessary to ensure that your data is secure and in accordance with this privacy policy.

5.2 Payment processing

Financial transactions relating to our website and services are handled by our payment services providers, PayPal. We will share transaction data with our payment services providers only to the extent necessary for the purposes of processing your payments, refunding such payments and dealing with complaints and queries relating to such payments and refunds.  We do not store any credit card, debit card or PayPal account details and so these details are not available to anyone at Home Base Holidays or our associates. 6. FHEA (Federation of Home Exchange Agencies

Home Base Holidays is part of FHEA (Federation of Home Exchange agencies). Members of FHEA include:

  • Guardian Home Exchange
  • Radio Times Home Swap
  • Green Theme International
  • Invented City

All home swap listings are shared across all FHEA websites to provide additional offers to our members. FHEA websites use the same database. Details you add to the Home Base Holidays website (including details about your home, communication through the messaging system, trip reports and swap agreement) will be available on all FHEA member websites. Your personal contact details (such as email address, phone number, postal address) will not be made available to other FHEA members unless you have given consent or you have chosen to add it to your home swap details available to members and non-members (we highly recommend that you don’t include personal identifying information in your home exchange listing as this is available to both members and non-members). By using our service, you agree that the data you provide to us will be available on all FHEA websites.

7. Promotions (including newsletters, blogs and featured offers)

As a member of Home Base Holidays, we may use information you have added to the website in our blog, newsletter, on social media and email promotions. This may include any photos, details about your home swap offer and trip reports you have added. The only information we will ever include is information that you have chosen to add to your listing or to another member’s listing (e.g. a home swap trip report).

You have the right to ask us not to use your data for marketing purposes. You can request that your data (such as the information you added to your home swap offer) not be used for marketing purposes and you can also opt out of receiving any marketing communications at any time by contacting us at info@homebase-hols.com 

8. Disclosure of your information

We do not sell any personal Information about you to any third party. We may share your information with third parties, including:

  • FHEA partner agencies
  • Other members of the Home Base Holidays website or members of partner FHEA websites
  • Suppliers and subcontractors (such as web hosting, email marketing, web developers)
  • Web analytics such as Google Analytics and Bing Webmaster Tools
  • Advertisers and advertising networks such as Google Adwords and Facebook advertising (we will not disclose information about identifiable individuals to our advertisers)
  • If Home Base Holidays is acquired by a third party
  • If we are under a duty to disclose or share your personal data to comply with any legal or regulatory obligation or request (including fraud protection)

We do not promise that your personal information or private communications will always remain private. Home Base Holidays shall not be liable for any claims or damages arising from the use of your Personal Information by any third party.

9. Deactivating / deleting your account

Please contact us at info@homebase-hols.com if you would like your Home Base Holidays account deactivated or deleted. Once we receive your deactivation or deletion request, we will remove your offer from our website at the soonest possible time in accordance with this Privacy Policy and any applicable laws (this is usually within three days). By default, when a member contacts us to deactivate their membership, their home swap listing is ‘hidden’ so that it doesn’t show on the website but is still stored on our database so that the member can reactivate their membership at a later date. Do please let us know if you want your data completely removed from the active database so that we can action this at the soonest possible time. When we receive a deletion request, we may need to retain your data for period as is required by applicable law or for us to resolve any disputes. Once your data has been deleted from our active databases, the data may still be stored on backup copies of the databases. Therefore, members should not expect that all their personal information will be removed from our databases after termination or cancellation of their membership.

Note: you can choose to hide your home swap listing at any time by logging in to your Member Area and changing your listing’s status to “Hidden”

10.     International transfers of your personal data

10.1   In this Section 10, we provide information about the circumstances in which your personal data may be transferred to countries outside the European Economic Area (EEA).

10.2   FHEA agencies have offices and facilities in the USA. The European Commission has made an "adequacy decision" with respect to the data protection laws of the USA. Transfers to the USA will be protected by appropriate safeguards, namely the use of standard data protection clauses adopted or approved by the European Commission’
